Choosing the right role when you invite someone prevents most of the "I can't see anything" and "it won't let me" questions later. Here is what each one is for.
Admin
Full access to your account: creates and edits sites, FotoFlows and users, sees every site, and manages account settings and billing. Give this to the people who set the system up and keep it running. Most accounts need very few admins.
Manager / supervisor
Sees and reviews the sites assigned to them, and receives the photographic reports. This is the role for area supervisors and account managers.
Managers do not complete inspections in the app. If a manager signs in to the mobile app expecting to see tasks, they will find none — that is the role working as intended, not a fault. If the person also needs to do the cleaning themselves, use Field Operator below rather than giving them a second account.
On-site user
The people doing the work. They use the mobile app only: they see the sites assigned to them, follow the FotoFlow, and submit photos.
On-site users cannot sign in to the web dashboard. If one tries, they get an authorization error — the account is fine, it just signs in on the phone instead.
Field Operator
For people who do both jobs — they supervise sites and carry out the work themselves. A working supervisor, an owner-operator, a lead hand covering a shift.
A Field Operator gets both interfaces in one account and switches between them whenever they need to. In the mobile app, open your Profile screen and use the view selector to switch between the manager view and the on-site view. The app opens in the manager view by default; switch to on-site when you're the one taking the photos.
Use this instead of creating two accounts for the same person. Duplicate accounts are the single hardest thing to untangle when something goes wrong later — and this role exists precisely so nobody has to.
Observer
Read-only access for people who need visibility without the ability to change anything — a client contact, or a senior manager who wants to look but not touch.
Evaluator
Reviews submitted photos against the reference photos and records the result. Use this for a dedicated quality-review function rather than for site supervision.
Choosing well
Assign sites at the same time as the role. A correctly-roled user with no sites assigned sees an empty app and it looks broken.
When in doubt, give less. Widening access later is one edit; explaining why someone saw a site they shouldn't have is harder.
