Someone is at the site on a cleaning day, opens the app, and there's nothing to do. Here are the five causes, in the order they actually happen — the first one accounts for most cases.
1. The site isn't linked to a FotoFlow
This is the most common cause by far, and it's easy to miss because nothing warns you when it happens.
Check: Dashboard → FotoFlows → open the FotoFlow that site should use → look at its list of sites.
Fix: add the site back to the FotoFlow and save. Tasks appear on the next scheduled day.
Worth doing once: if one site fell off, others may have too. Scan the full site list on each FotoFlow rather than adding back only the one that was reported.
2. The FotoFlow is deactivated
A deactivated FotoFlow produces no tasks at any of its sites, which can look like a platform-wide outage when it's a single switch.
Check: Dashboard → FotoFlows → is the flow shown as active?
Fix: reactivate it. If you don't know why it was deactivated, check with whoever else administers the account before turning it back on.
3. The site's cleaning days don't include today
Tasks are generated only on the days a site is marked as cleaned. If the schedule changed — a route moved, a day was added — and the site record wasn't updated, the app has nothing to show.
Check: Dashboard → Sites → open the site → the days of the week selected.
Fix: correct the days and save.
4. The task was already submitted for that shift
If someone else on the team already completed the flow, there's nothing left to do.
Check: Dashboard → Reports → filter to that site and date.
Fix: nothing needed — this is the system working. It's worth telling the team, since two people arriving to the same site is usually the underlying issue.
5. The app hasn't refreshed
Least common, but the fastest to rule out.
Fix: on the phone, pull down on the task list to refresh, and make sure the app is updated to the latest version in the App Store or Google Play.
If none of those explain it
Message us with the site name and the date and time the person was on site. We can see the site's setup and its task history directly, and we'll tell you which of the five it was — or fix it from our side if it's something else.
If someone is standing at a site right now unable to work, say so in your first message and we'll prioritise it.
