Reporting a problem you find on site (deficiency tickets)

How to record a maintenance issue or deficiency with a photo — and why it has to be done from the site.

A deficiency ticket records something that needs attention but isn't part of the regular cleaning flow — a broken dispenser, a leak, damage, a supply that has run out. Like everything else in FotoFinish, it is built around a photo, so there is a dated visual record rather than a description.

How to raise one

Tickets are created from the mobile app, while you are at the site, by photographing the problem. That is deliberate: the value of the ticket is the photograph, and the photograph has to be taken where the problem is.

You can't create one remotely

There is currently no way to raise a ticket for a site from the dashboard without being there. If you're an account manager who has been told about a problem over the phone, you have two options:

  • Ask whoever is on site to raise it — this is much the better answer, because you get a real photograph of the actual problem.

  • If nobody will be on site soon and you need it recorded now, message us and we'll help you get it logged.

What makes a ticket useful

  • Show the problem and its surroundings. A close-up of a crack tells the reader nothing about where it is — take one photo showing the location and one showing the detail.

  • Take it in good light, the same as any FotoFinish photo.

  • Raise it the day you see it. A deficiency reported the same day is a service; the same deficiency found by the client first is a complaint.

Not sure whether something warrants a ticket? Raise it. An unnecessary ticket costs a few seconds; an unrecorded problem tends to cost a lot more.
